Uspacy Artificial Intelligence Transparency Notice

Uspacy uses artificial intelligence technologies to create features that help users work with information, create and analyze content, automate routine operations, and perform other actions in Uspacy.

This AI Transparency Notice (“Notice”) explains how Uspacy uses artificial intelligence features (“AI Features”), what data may be processed when they are used, the limitations of these technologies, and the user's role in their use.

This Notice forms part of Uspacy’s framework of rules for the responsible and transparent use of artificial intelligence and supplements the Terms of Use, Privacy Policy, and other applicable Uspacy documents.

AI Features may be integrated into various Uspacy components and, depending on the specific feature, may be used for:

1. creating, editing, rephrasing, and summarising text;
2. analyzing information and preparing conclusions or recommendations;
3. searching, structuring, classifying, and extracting information;
4. recognizing and transcribing speech;
5. working with information contained in CRM, tasks, communications, and other Uspacy components accessible to the user;
6. automating certain operations;
7. enabling user interaction with AI assistants and AI agents;
8. enabling AI agents to perform actions in Uspacy authorized by the user;
9. other features where the use of artificial intelligence is clearly indicated in the interface or description of the relevant feature.

The specific capabilities of AI Features may vary depending on the subscription plan, Space settings, the user’s access rights, and the availability of the relevant technologies.

To provide AI Features, Uspacy may use its own software, models, and algorithms, as well as technologies, models, and infrastructure provided by third parties.

When a user uses a particular AI Feature, Uspacy may transmit to the relevant AI service the information necessary to fulfill a specific request or perform a specific action.

The scope of such information depends on the AI Feature, the context in which it is used, the user’s action, the data available to the user, and the Space settings.

Uspacy seeks to limit the amount of information transmitted to what is necessary for the operation of the relevant AI Feature.

Depending on the AI Feature, the following may be processed:

1. text and other instructions entered by the user;
2. content provided by the user to the AI Feature;
3. information from CRM, tasks, contacts, companies, deals, and other Uspacy entities;
4. messages and other communications, where the user uses an AI Feature to work with them;
5. documents, files, and other content to which the AI Feature has been granted access;
6. audio data, where a speech recognition or transcription feature is used;
7. technical and contextual data necessary to generate a response or perform the requested action.

This information may contain personal data. The user must not provide AI Features with personal, confidential, or other legally protected data unless such disclosure is necessary for a lawful purpose of using Uspacy and the user has an appropriate legal basis for processing such data.

Uspacy processes personal data in accordance with the Uspacy Privacy Policy, the applicable Data Processing Agreement (DPA), and personal data protection laws.

Certain Uspacy AI Features may use models, APIs, computing resources, or other technologies provided by third-party AI providers.

In such cases, Uspacy may transmit the information necessary to fulfill the request to the relevant provider for processing.

Uspacy assesses applicable privacy, security, and data protection requirements when selecting technology providers for AI Features.

Up-to-date information about providers that process personal data on behalf of Uspacy is provided in Uspacy’s list of subprocessors or in other relevant documents.

Uspacy does not use data belonging to the Customer and stored in the Customer’s Space to train its own artificial intelligence models without an appropriate legal basis or the Customer’s permission.

Where Uspacy uses third-party AI providers, the conditions governing the processing of data transmitted to them are determined by the relevant agreements between Uspacy and such providers and by the applicable settings of the relevant services.

Uspacy seeks to use AI provider API solutions whose terms restrict the use of Customer-provided data for training publicly available models.

AI Feature outputs are generated automatically based on artificial intelligence models. Such outputs are probabilistic in nature and may contain errors, inaccuracies, incomplete, outdated, incorrect, or contextually inappropriate information. Artificial intelligence may also generate information that appears credible but is not in fact accurate.

Therefore, AI Feature outputs should not automatically be treated as reliable facts or as a substitute for professional, legal, financial, medical, or other specialized advice.

Users should assess AI Feature outputs according to the purpose for which they are used and, where necessary, verify them before making decisions based on them, sharing them with third parties, publishing them, or otherwise using them.

Uspacy considers artificial intelligence a tool to support users, rather than an unconditional substitute for human decision-making.

Depending on the specific AI Feature, the system may generate information, suggest actions, or perform actions within the scope of Uspacy capabilities available to the user.

The user is responsible for the proper use of AI Features, the instructions they provide, and how they use the results obtained.

Where an AI Feature can perform actions on behalf of the user, its capabilities should be limited by access rights, settings, and other control mechanisms available in Uspacy.

Uspacy seeks to ensure that users can understand when they are interacting directly with an artificial intelligence system.

Where the nature of the interaction with AI is not obvious from the context, Uspacy may use appropriate labels, notices, feature names, or other interface elements indicating the use of artificial intelligence.

Uspacy provides information about interaction with AI in an accessible and understandable form, in accordance with applicable legal requirements.
